2. Acceptance of Terms
By creating an account, downloading our app, or using our Service, you confirm that:
- You have the legal capacity to enter into this agreement
- You agree to be bound by these Terms
- You will comply with all applicable laws and regulations

- You are a construction industry professional with authorized access to the Service
3. Description of Service
CrewChain is a construction project management platform that provides:
3.1 For Main Contractors
- Project creation and management tools
- Team collaboration and management features
- Document management and sharing capabilities
- GPS and geofence check-in/check-out monitoring and verification, including optional automatic check-out when leaving the site and automatic check-in on return (subject to device permissions)
- Work progress tracking and documentation
- Quality control and issue management
- Programme and timeline management
- Design file sharing and management
- In-app document signing and acknowledgement workflows (Main Contractors are responsible for ensuring documents are suitable for their purposes and legally enforceable. We provide the signing tool and audit metadata, but we do not provide legal advice or guarantee enforceability)
- Project team management and collaboration
- Invitation and access management systems
- Real-time project monitoring and reporting
- Address geocoding for location services
- Project site location and geofence configuration tools
3.2 For Subcontractors
- Project access and management tools
- Design file viewing and download capabilities
- Work documentation and progress tracking
- GPS and geofence check-in/check-out with offline functionality and optional automatic attendance when leaving or re-entering the site (subject to device permissions)
- Activity monitoring and team communication
- Issue reporting and quality management
- Document viewing and signing capabilities
- Schedule access and timeline management
- Team visibility and project information
- Offline work capabilities with automatic sync
- Push notifications and real-time updates
3.3 Electronic signatures and documents
- The Service may allow users to sign or acknowledge documents electronically and generate signed PDF documents
- When a user signs or acknowledges a document, we may record audit metadata such as the signing timestamp, a document hash/identifier, and a captured signature image used to generate the signed PDF
- You are responsible for verifying the identity and authority of signers and for ensuring any required witnessing or formalities are satisfied for your intended use
- We do not provide legal advice and do not guarantee that any electronically signed document will be legally valid or enforceable in all circumstances
4. User Accounts and Registration
4.1 Account Creation
- You must provide accurate and complete information
- You are responsible for maintaining account security
- You must notify us immediately of any unauthorized access
- One account per person - multiple accounts are prohibited
- Main Contractors must use a valid email address
- Subcontractors can authenticate using either email address or phone number
- Main Contractors require company verification
- Subcontractors require a valid project code from a verified company
4.2 Account Types
- Main Contractor: Full access to project management and team collaboration features
- Subcontractor: Access to assigned project features with work documentation capabilities
- Viewer: Read-only access to specific projects
5. User Responsibilities
5.1 Lawful Use
- Use the Service only for lawful purposes
- Comply with all applicable laws and regulations
- Respect intellectual property rights
- Do not engage in fraudulent or deceptive practices
5.2 Prohibited Activities
You may not:
- Upload malicious software or harmful content
- Attempt to gain unauthorized access to our systems
- Interfere with the Service's operation
- Use the Service for illegal activities
- Harass, abuse, or harm other users
- Share false or misleading information
- Violate any applicable laws or regulations
- Circumvent security measures or access controls
- Use automated systems to access the Service without permission
- Reverse engineer or attempt to extract source code
5.3 Content Standards
- All content must be accurate and truthful
- Content must not be defamatory, offensive, or inappropriate
- You must have rights to all content you upload
- Content must be accurate and lawful
- Work documentation must be genuine and related to actual work performed
- You must not upload copyrighted material without permission
6. Payment Terms
6.1 Subscription Fees
- Main Contractors: Pay subscription fees for access to the Service based on the plan selected (monthly or annual), as shown on our website or otherwise agreed in writing
- Subcontractors: Free access to assigned projects under the Main Contractor’s subscription
- Taxes: Prices are shown inclusive or exclusive of VAT as indicated at checkout, and VAT will be charged where applicable
6.2 Payment processing (Stripe)
- We use Stripe Payments Europe, Ltd. and its affiliates (“Stripe”) to process payments made through the Service
- When you pay via Stripe Checkout, your payment details are provided directly to Stripe. We do not store full card numbers
- Stripe may process your payment information in accordance with its own terms and privacy policy
6.3 Renewals and billing
- Subscriptions are billed in advance on a recurring basis (monthly or annually) unless cancelled
- Your subscription will automatically renew unless you cancel before the renewal date
- We may change pricing for future billing periods. If we do, we will provide reasonable notice and the updated pricing will apply at renewal
6.4 Cancellation
- You can cancel your subscription at any time by contacting support@crewchain.co.uk (or via any self-service cancellation option we provide in the Service)
- Cancellation takes effect at the end of your current billing period. You will retain access until then
- We do not provide pro-rata refunds for cancellation except where required by law
6.5 Refunds
- Subscription fees are non-refundable except as required by law
- We may issue refunds or credits at our sole discretion, but doing so does not create any ongoing entitlement to refunds
6.6 Invoices and records
- We will provide receipts or invoices for payments (for example via Stripe)
- We may retain payment and invoice records as required for accounting and tax purposes
6.7 Failed payments and suspension
- If a payment fails, we may attempt to reprocess it and/or request an updated payment method
- We may suspend or restrict access to paid features if payment is not received, after providing reasonable notice where possible
7. Intellectual Property Rights
7.1 Our Rights
- We own all rights to the Service and its content
- Our trademarks, logos, and branding are protected
- You may not copy, modify, or distribute our content
- You may not reverse engineer or decompile our software
- The Service is licensed, not sold, to you
7.2 Your Rights
- You retain ownership of content you upload
- You grant us a license to use your content for Service provision
- You may not upload content you don't own or have rights to
- You are responsible for obtaining necessary permissions
- You warrant that you have all necessary rights to your content
7.3 Custom branding
- Pro and Pro+ only: Custom branding is included on Pro and Pro+ subscription tiers only, as shown on our pricing page and as recorded in your account. Starter, Core, and other tiers do not include it unless we agree otherwise in writing
- What you can configure: Where eligible, account owners may set an optional company logo and brand colours (including accent, page/surface colours, and optional sidebar/panel colours on the web) stored against your company account. The web Service applies these across the interface (for example the Home plan strip, primary actions, links, sidebar, and page backgrounds). Mobile apps may apply the accent colour and logo in line with the same company settings; the exact areas and options can vary by platform and app version
- Our product, your marks: Your logo and colours appear inside the CrewChain interface. Your company name may also appear elsewhere in the Service from your account profile. The Service, software, and CrewChain name and marks remain ours. You are granted the right to have your company logo and related branding displayed in the product under these Terms; that does not transfer ownership of the Service or software to you, rebrand CrewChain as your own product, or imply partnership or endorsement beyond displaying your assets as configured
- You retain ownership of your trademarks and branding assets. You grant us a limited, non-exclusive licence to use them solely to provide the custom branding feature and operate the Service for you
- On termination of your subscription, downgrade to a non‑Pro plan, or at your request (where feasible), we may remove or disable custom branding and cease using your branding assets for that purpose
8. Privacy and Data Protection
8.1 Privacy Policy
- Our Privacy Policy is incorporated into these Terms
- We collect and process personal data as described in our Privacy Policy
- We comply with UK GDPR and Data Protection Act 2018
- You have rights regarding your personal data
- We may share data with third-party service providers as described in our Privacy Policy
8.2 Location and attendance
- Some features need location access on your device. You can change or withdraw permissions in your device settings; if you deny access or limit it (for example to “While Using” only on iOS), manual check-in may still work in some cases, but background geofence-based automatic check-out or check-in may not
- Geofence-based attendance relies on your operating system’s region monitoring; it is not continuous real-time GPS tracking of your movements, as described in our Privacy Policy
- Accuracy of location and geofence events depends on device hardware, OS, environment, and project configuration
9. Service Availability
9.1 Uptime and Service Availability
- We aim for 99.5% uptime but cannot guarantee it
- We are committed to maintaining continuous service availability
- We will only take the service offline in exceptional circumstances, including:
- Critical security vulnerabilities requiring immediate patching
- Severe technical failures that threaten data integrity
- Legal or regulatory requirements mandating service suspension
- Force majeure events beyond our control
- We will provide at least 48 hours' notice of planned maintenance
- Emergency maintenance may occur without notice only in the above circumstances
- We are not liable for service interruptions
10. Limitation of Liability
10.1 Disclaimer
- The Service is provided "as is" without warranties
- We disclaim all warranties, express or implied
- We do not warrant uninterrupted or error-free service
- We are not liable for third-party actions or content
- We do not warrant that the Service will meet your requirements
10.2 Limitation
- Our total liability is limited to the amount you paid in the last 12 months
- We are not liable for indirect, consequential, or punitive damages
- We are not liable for loss of profits, data, or business opportunities
- This limitation applies to the fullest extent permitted by law
11. Termination
11.1 Termination by You
- You may terminate your account at any time
- Termination takes effect immediately
- You may request data deletion as per our Privacy Policy
- You remain liable for all charges incurred before termination

11.2 Termination by Us
We may terminate your account if you:
- Violate these Terms
- Engage in fraudulent or illegal activities
- Fail to pay subscription fees
- Misuse the Service or harm other users

- Any disputes will be subject to the jurisdiction of English courts
- We will attempt to resolve disputes amicably first
